This role offers the post holder the opportunity to be involved at the heart of OxFed in a busy, challenging and fast-moving environment. It will suit an experienced and self-motivated Executive Assistant who enjoys being part of a close-knit team.
This is an important and responsible position. The Executive Office operates to an extremely busy and demanding schedule, and you will play a key role in helping to plan and complete tasks in a timely and efficient manner. You will act as an important communication link, to and from the Directors -you will work for, and help ensure high quality support and liaison with colleagues and partners internally and externally.
You will deliver a high level of direct support for the people you work for, proactively dealing with a wide range of matters, sometimes highly confidential and/or urgent, while demonstrating initiative and sound judgment, especially when they are unavailable. You will carry responsibility for the effective day-to-day organisation of their diaries, arrange meetings, calls and teleconferences, organise their travel and ensure they have all necessary papers for meetings. All of these activities will involve exercising a considerable degree of judgement and the ability to work both independently and collaboratively. You will liaise effectively with individuals at all levels in OxFed and beyond (including directors, members, commissioners, partners and stakeholders). You will also assist with fact-finding and background research on selected topics, help assemble short briefing papers and assist with preparing presentations and discussion papers.
We take our support services very seriously. You will be part of our growing Business Support Team, working together with a range of other administrative professionals to provide a seamless service across all of our activities. In addition to your Executive Assistant role you may be called upon to support other projects from time to time and will have the chance to be involved in a range of initiatives and training opportunities to help you to develop your skills while also benefitting our organisation.
